Who controls your data
The Memory Collective, Mailbox 24, Megway Parcels Store, 1 Abington Square, Northampton, NN1 4AE, controls your personal data. Contact: enquiries@thememorycollective.co.uk.
Information we collect
We collect your name, email address, telephone number where supplied, billing and delivery address, order details, delivery choice, special instructions and the personalisation information you provide. This can include uploaded photographs, images, text, dates, logos and information about keepsakes. Stripe processes card and wallet payments; we receive transaction information such as payment status, method and payment reference, but we do not store full card details. We also collect technical information needed to operate the site, including the basket stored in your browser.
Why we use it and our lawful bases
We use this information to take payment, make and deliver your order, communicate about it and respond to enquiries. This processing is necessary to perform our contract with you. We also process information where necessary to comply with legal and accounting obligations, and for our legitimate interests in running, securing and improving the business. We do not use uploaded personalisation content for advertising without separate permission.
Early-access and marketing emails
Where you specifically tick the early-access marketing box, we store your name and email address, the date and time of consent, and a record of any offer code issued. We use consent only to send early-access, launch, discount and new-drop emails. We keep marketing details until you unsubscribe or ask us to remove them; we may retain a minimal suppression record so we do not email you again by mistake.
Who receives it
We share only what is necessary with third-party processors required to run the business: Stripe for payments, Royal Mail for delivery, Fasthosts for website hosting and email, and providers that support accounting. We do not sell personal information.
How long we keep it
We normally retain order and transaction records for up to six years for accounting, tax and legal purposes. HMRC may require a self-employed business to keep records for at least five years after the relevant 31 January filing deadline. We keep working personalisation files only for as long as needed to fulfil and support the order, then delete or anonymise them unless a longer period is necessary for a dispute, legal claim or legal obligation.
Your rights
You can ask for access, correction, deletion, restriction or a copy of your personal data, and object in certain circumstances. Email us first. You can also complain to the Information Commissioner's Office.
Cookies
This site uses essential browser storage to keep your basket. If non-essential cookies or analytics are added, we will ask for consent before using them.
